Saskatoon Trades and Skills Centre

Levis Tech developed a participant application and program reporting platform for Saskatoon Trades and Skills Centre to help manage applications, staff review, participant profiles, follow-ups, communications, and reporting from one connected system.

Overview

Saskatoon Trades and Skills Centre needed a better way to manage the participant application process for their programs. The system supports both participant students and SCSC staff/admins, giving applicants a clear way to submit applications and giving staff the tools to review, manage, communicate, and report on program activity. The platform supports the full workflow from application submission to review, interview invitations, acceptance or rejection, participant profile creation or updates, program completion, follow-up tracking, and advanced reporting.

The Challenge

The previous process involved a lot of manual administration, application tracking, communication, validation, and follow-up work. Staff needed to manage applications, review statuses, communicate with applicants, track accepted participants, and follow up after program completion. SCSC also needed accurate reporting for administrators and board members, including program and participant statistics aligned with Saskatchewan reporting requirements. Without a connected platform, it was harder to reduce missed follow-ups, keep application data accurate, and generate reliable reporting numbers.

The Solution

Levis Tech built a custom platform that brings the participant application process, staff workflow, participant management, follow-ups, notifications, and reporting into one system. Applicants can submit program applications online. SCSC staff can review applications, accept or reject applicants, or invite them for interviews. When an applicant is accepted, the system can create a participant profile or update an existing profile if the person has participated before. The platform also supports post-program follow-ups, allowing staff to track outcomes such as employment status or other participant updates after course completion. Email notifications and reminders help participants and staff stay informed and reduce missed actions.
