Aboriginal Friendship Centres of Saskatchewan Funding Programs

Levis Tech developed a funding management and reporting portal for Aboriginal Friendship Centres of Saskatchewan and Friendship Centres to support the full funding agreement lifecycle, from program setup and agreement distribution to report submissions, approvals, payment releases, reminders, and year-end closure.

Overview

Aboriginal Friendship Centres of Saskatchewan needed a centralized portal to manage funding programs and agreements with eligible Friendship Centres. The system allows AFCS staff to define funding programs, create and distribute funding agreements, request reports throughout the year, review and approve submissions, and manage agreement closure and historical records. Friendship Centre staff use the portal to access their agreements, submit required financial and program reports, upload supporting documents, and respond to reporting requirements and deadlines. The portal supports multiple funding programs and agreements, with no fixed limit on the number that can be managed.

The Challenge

Funding program administration can involve many agreements, reporting deadlines, financial submissions, program updates, supporting documents, approvals, and payment steps. When this process is managed through email, spreadsheets, or disconnected files, it becomes harder to track what has been submitted, what still needs review, which deadlines are approaching, and which agreements are ready for the next payment or year-end closure. Aboriginal Friendship Centres of Saskatchewan needed a system that could support recurring annual funding cycles while keeping current and historical agreement information organized and accessible.

The Solution

Levis Tech built a web portal that brings funding programs, agreements, reporting, approvals, reminders, and records into one connected platform. AFCS staff can create funding programs, distribute agreements to eligible Friendship Centres, review submitted reports, approve or follow up on submissions, release payments based on the reporting workflow, and close agreements once the funding period or year is complete. Completed agreements can be copied or preserved for historical purposes, making it easier to start a new funding cycle the following year. Friendship Centres can submit required reports through the portal, including financial reports, cash flow reports, final program reports, outcome reports, documents, and other required materials. Notifications and reminders help keep due dates visible and reduce missed reporting steps.
